At PM Property Management we tailor the services we provide to meet your needs.  We achieve this by obtaining a clear understanding at the outset of your requirements both now and in the future.

This not only includes the services being provided by your current Managing Agent but also any additional specific areas of concern you have.

We can then create a service arrangement and pricing schedule tailored for you from across the range of core services we provide to Leasehold Management Companies:


Take-on / Handover

Frequently Management Companies are nervous of initiating a transfer of Managing Agent, being worried that it is a complex process.

Ultimately the feasibility of the process will depend on the format of the contract you have with the existing Agent, but usually, it requires something like three months notice.

Once notice is served, PM Property Management will work with the outgoing Agent, or anyone who has been self-managing, to ensure a smooth handover: We will ensure:

  • banking arrangements are in place
  • there is no break in insurance cover
  • that all residents and contractors are made aware of the transition
  • all paperwork is transferred and safely stored
  • any ongoing projects are safely seen through to conclusion

Routine Maintenance

Subject to agreement we will provide or carry forward the following tasks:

  • Cleaning of communal areas, including annual deep clean of carpets
  • Window Cleaning
  • Fire alarm testing
  • Electrical equipment testing such as gates and lifts, together with wiring (EICR ) checks
  • Gutter Clearing and Fascia Cleaning
  • Fire / Health & Safety Checks
  • Gardening and grounds maintenance
  • 24/7 Call Out Service

Administration, Governance  and Finance

We can take over the day to day administration, governance and finance arrangements including:

  • Holding Management and Annual General Meetings where requested, including all paperwork (agenda, minutes etc.)
  • Issuing Service Charge invoices and managing the subsequent collection of funds
  • Paying Contractors and other charges
  • Maintain running income and expenditure account, with online view capability for Directors
  • Preparing and submitting Annual Accounts
  • Preparing annual budgets
  • Submitting Annual Return and managing other records at Companies House
  • Preparing sales packs for flat sales

Repair & Maintenance Projects

The support we provide for repair and maintenance projects can include:

Obtaining:

  • Initial assessments of work required
  • Specifications and tenders
  • Quotes

Preparing

  • Budget
  • Section 20 Notifications
  • Project Plans (we offer an online planning system allowing those that wish to see progress as it occurs)

Ensuring:

  • Work is carried out in a timely manner and in accordance with the specification
  • All Health and Safety matters are addressed
  • Work is appropriately signed off
  • Invoices get paid in a timely manner
